Email acceptable use policy
This policy applies to every mailbox on the PageKept business email service, whether it comes with a website or on its own. It exists so that mail from our clients keeps arriving in inboxes: mail providers judge senders by their shared reputation, and one abusive mailbox can hurt every business we host. By using the service you agree to it.
1. What the service is for
Ordinary business email: correspondence with customers, suppliers and colleagues; support; notifications your business sends to people who expect them (order confirmations, appointment reminders, account notices); and newsletters or promotions to people who asked for them.
2. What is not allowed
These rules are about what you send, or knowingly cause to be sent, through the
service. Being the target of phishing, malware or unwanted mail is not a breach of this
policy and is never held against you; forward such messages to
abuse@pagekeptdigital.com and we will help.
You may not use the service to send, solicit, or knowingly relay:
- Unsolicited bulk email, meaning substantially similar messages sent to many recipients who did not ask for them, whether you call it marketing, outreach, or anything else. Buying, renting or scraping lists of addresses, and sending to them, is not allowed.
- Deceptive email: forged or misleading sender names, addresses, subject lines or headers; messages that pretend to come from another person or organisation (phishing); messages designed to trick people into revealing passwords, payment details or other personal information.
- Harmful content: malware, viruses, or links to them; content that is illegal where you or the recipient are; threats, harassment or content intended to intimidate.
- Third-party relaying: using your mailbox as a relay for mail that originates from systems, people or businesses that are not yours.
- Anything that violates the law, including the CAN-SPAM Act and equivalent laws in the recipients’ countries.
You also may not share app passwords or portal sign-ins with people outside your business, attempt to get around sending limits, or interfere with the service or other users.
3. Rules for marketing and bulk messages you are allowed to send
If you send newsletters, promotions or other bulk messages to people who asked for them:
- Consent first. Send only to people who signed up with your business or have an existing business relationship with you, and keep a record of how each address was obtained.
- Easy opt-out. Every message must include a clear way to stop receiving them, and you must honour opt-outs within ten business days and for good. Do not require a login or a fee to opt out.
- Honest headers and subjects. The message must say who it is from, and the subject must reflect the content.
- A postal address. Commercial messages must include a valid physical postal address for your business, as U.S. law requires.
- Say it’s an advertisement where the law requires it.
- Keep it reasonable. Bulk sending is meant for a business’s own audience, not for high-volume campaigns. If you expect to send more than a few thousand messages a month, talk to us first; a dedicated sending service may suit you better and we can help set it up.
4. Limits and safeguards
To protect everyone’s deliverability, the service applies automatic sending limits per mailbox and per domain (recipients per message, messages per hour and per day). Unusual sending, such as a sudden burst, many bounces, or many complaints, may cause messages to be held for review or a mailbox to be paused. We will contact you when that happens.
We check incoming mail automatically for spam, forged senders and malware; some messages are delivered to the Junk folder or rejected with an explanation to the sender.
5. Compromised accounts
If we believe a mailbox has been taken over (for example by a leaked app password), we may immediately stop it sending, sign out its devices and require new app passwords, and we will tell you as soon as we can. Keep app passwords private, use a different one per device, and remove devices you no longer use.
6. Enforcement
We may hold messages, pause sending, suspend a mailbox or domain, or end the service for a client who breaks this policy, depending on how serious and how deliberate the breach is. We prefer to warn first and will explain what happened. Repeated or deliberate abuse, or abuse that endangers other clients’ deliverability, may be stopped without warning.
7. Reporting abuse
If you receive unwanted or abusive mail from a PageKept address, forward it with the full
headers to abuse@pagekeptdigital.com. We read every report.
8. Changes
We may change this policy at our discretion as mail providers’ requirements and the law change. The effective date at the top will change when we do, and for material changes we will notify clients by email before they take effect. Continued use of the service after a change means you accept the changed policy.
